Introduction

Our hotel in Rustenburg is looking for a Rooms Division Manager to take charge of the efficient operation of the Housekeeping and Front Office Departments.

Duties & Responsibilities

  • Ensure that your staff always look presentable.
  • Ensure that the Reception area is clean and neat at all times and that all company standards are adhered to.
  • Deal effectively with guest queries and feedback.
  • Continuously train the Front Office team on our Front Office procedures.
  • Ensure that all Front Office Procedures are consistently adhered to by the Front Office team.
  • Carry out daily spot checks paying special attention to the correctness of rates, credit limits, payment confirmations and accuracy of guest details.
  • Ensure that all relevant guest details and/or documentation has been obtained as required per our policy.
  • Ensure that all cashing up procedures are being carried out as per policy and procedure and check all floats to ensure it balances.
  • Constantly monitor occupancy levels and forecasts and ensure that published rates are in line with forecasts – (peak / low season rates).
  • Constantly monitor over-bookings to achieve maximum occupancy levels.
  • Ensure that all Front Office staff are aware of any specials on offer.
  • Ensure that all Front Office staff are familiar with the Arrival and Departure Experience as per company standards.
  • Ensure that all financial postings are correct.
  • Ensure that all relevant deposit and payment procedures are being adhered to.
  • Ensure that all departure accounts have been closed and prepared for direct billing where necessary.
  • Check all conference main accounts to ensure all postings have been done correctly.
  • Ensure that all direct bills are 100% accurate.
  • Ensure that the daily management report is completed and balanced daily.
  • Guest ledger balances report to be monitored daily.
  • O-Status report to reflect current in-house balances.
  • Liaise with the F&B department regarding group bookings (and booking requirements).
  • Ensure that all changes are communicated to other departments as and when necessary.
  • Ensure that function sheets are available at reception for reference if needed.
  • Ensure that the department’s duty rosters are drawn up weekly in accordance with the demand of business.
  • Assist with Site Inspections as and when requested.
  • Ensure that all Front Office operational equipment is correctly maintained.
  • Ensure that all venues are cleaned on a daily basis and according to requirements.
  • Ensure that sufficient conference linen is available as required.
  • Check all public areas on a daily basis.
  • Ensure that the entire housekeeping department staff is familiar with the Rooms standards.

Check a minimum of 10 rooms daily for preventative maintenance.

Ensure that all rooms undergo a deep clean on a quarterly basis.

Check all VIP arrival rooms that the correct room drops have been done.

Ensure that cleaning materials, guest supplies and stationery relevant to the Rooms Division department are being purchased and / or ordered as per company policy.

Spot check guest rooms and public areas to ensure standards are maintained.

Ensure that the storerooms are kept in adequate condition and execute proper controls in terms of all stock.

Take operating stock once a month according to the company procedures and process the results.

Ensure that the relevant reports are being submitted as and when required.

Do Duty Manager shifts as required.
